This privacy policy aims to give you information on how Voltview Ltd collects and processes your personal data through your use of our website (www.voltview.co.uk) including any data you may provide when we provide our services to you.

This website is not intended for children, and we do not knowingly collect data relating to children.

It is important that you read this privacy policy together with any other privacy policy or fair processing policy we may provide on specific occasions when we are collecting or processing personal data about you so that you are fully aware of how and why we are using your data. This privacy policy supplements other notices and privacy policies and is not intended to override them.

We keep our privacy policy under regular review. This version was last updated on 19 April 2024.

It is important that the personal data we hold about you is accurate and current. Please keep us informed if your personal data changes during your relationship with us.

Third-party links

Our website may include links to third-party websites, plug-ins and applications. Clicking on those links or enabling those connections may allow third parties to collect or share data about you. We do not control these third-party websites and are not responsible for their privacy statements. When you leave our website, we encourage you to read the privacy policy of every website you visit.

The type of personal information we collect

Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data).

We currently collect and process the following personal information:

  • Personal identifiers, contacts, and characteristics (for example, name and contact details such as address, email address and telephone numbers);
  • Usage statistics of the VoltView platform and our website;
  • Technical data, including internet protocol (IP) address, your login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform and other technology on the devices you use to access the VoltView platform or our website;
  • Marketing and communications data, including your preferences in receiving marketing from us and your communication preferences.

We do not collect any Special Categories of Personal Data about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health, and genetic and biometric data). Nor do we collect any information about criminal convictions and offences.

If you fail to provide personal data

Where we need to collect personal data by law, or as part of us selling our services to you (where applicable), and you fail to provide that data when requested, we may not be able to grant access to the VoltView platform or our website and/or provide the services to you under the contract between us. In this case, we may have to cancel the contract with you for the provision of the services but we will notify you if this is the case at the time.

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • To create and manage your account;
  • To provide customer support and service to analyse usage and improve our services;
  • To enable us to perform our obligations under the contract we are about to enter into, or have entered into, with you so we can provide the services for this purpose specified in the contract;
  • To manage our relationship with you, which will include notifying you about changes to our terms or privacy policy; and
  • To grant you access to use the VoltView platform or our website from time to time.

We also receive personal information indirectly, from the following sources in the following scenarios:

  • From Managed Service Providers (MSP) for access to smart meter data; or
  • From third-party analytics tools to monitor platform usage.

We use the information that you have given us in order to provide and improve our services, communicate with you, and comply with legal obligations. We may share this information with managed service providers, third-party vendors, or as required by law.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely upon for processing this information are: (a) We have a contractual obligation to perform; and (b) We have a legitimate interest, save for marketing purposes where we rely upon your consent. You are able to withdraw your consent at any time. You can do this by contacting privacy@voltview.co.uk.

Change of purpose

We will only use your personal data for the purposes for which we collected it, unless we reasonably consider that we need to use it for another reason and that reason is compatible with the original purpose. If you wish to get an explanation as to how the processing for the new purpose is compatible with the original purpose, please contact us.

If we need to use your personal data for an unrelated purpose, we will notify you and we will explain the legal basis which allows us to do so.

Please note that we may process your personal data without your knowledge or consent, in compliance with the above rules, where this is required or permitted by law.

How we store your personal information

Your information is securely stored in encrypted data centres. We keep personal data for a period of 6 years or as required by applicable laws. We will then dispose of your information by permanently deleting the data.

We may retain your personal data for a longer period in the event of a complaint or if we reasonably believe there is a prospect of litigation in respect to our relationship with you.

Disclosure of your personal information

We may disclose your personal information to:

  • Utility service providers with whom we will be dealing with as part of providing our brokerage services to you;
  • Our service providers and agents who provide IT and system administration services to us;
  • Our professional advisers including lawyers, bankers, auditors and insurers who provide consultancy, banking, legal, insurance and accounting services to us;
  • Third party utility suppliers where you have enquired about a specific utility supply to be provided by that third party, for the purposes set out above; or
  • Third parties to whom we may choose to sell, transfer, or merge parts of our business or our assets. Alternatively, we may seek to acquire other businesses or merge with them. If a change happens to our business, then the new owners may use your personal data in the same way as set out in this privacy notice.

We require all third parties to respect the security of your personal data and to treat it in accordance with the law. We do not allow our third-party service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions.

International transfers

We may transfer your personal data to service providers that carry out certain functions on our behalf. This may involve transferring personal data outside the UK to countries within the European Union, which have been deemed by the UK to provide an adequate level of protection.

  • Your right to object to processing - You have the right to object to the processing of your personal information in certain circumstances, for example where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground as you feel it impacts on your fundamental rights and freedoms.

However, this right only applies to automated information which you initially provided consent for us to use or where we used the information to perform a contract with you.

No fee usually required

You are not required to pay any charge for exercising your rights. However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we may refuse to comply with your request in these circumstances.

What we may need from you

We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.

Time limit to respond

If you make a legitimate request, we have one month to respond to you. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.
